Module::Parts and Service
This module
facilitates the operation of the parts and service department of an automotive dealership.
Complete management of part inventory is achieved through integration with the service department
as well as the purchase order system. Part details include information required to assist in the
purchase, sale, and management of part quantities. Parts may be charged out to work orders or
billed directly to a customer as a retail sale.
Work Orders are available
that allow for work to be performed on internal vehicles or customer vehicles.
Each work order can have multiple labour lines which each line containing any number
of parts. The W.O. printout is clean and easily understandable to the customer. The service
and parts departments are tightly integrated such that parts can be charged out to a
work order from either the parts screen or immediately when the part is ordered via the
purchase order system. It is not required for a labour operation to be created at the time
the part is charged to a work order.When parts are added to WO the number
of available parts in inventory is automatically decremented. The service department
also supports menu selling for jobs such as the standard `Lube, Oil, Filter` in which the labour price of the WO is automatically
determined by subtracting the menu selling price from the parts retail price
for that job. Individual labour operations on the work order may be marked as 'Internal', 'Customer', or
'Warranty' which signifies how that particular labour operation will be paid.
Integration with the Purchase Orders module means that reordering parts is
very easy and there is no double-entry! When a shipment of parts come in, the
part is automatically added to inventory with a reference to the PO it was ordered
from. In addition, the vendor and the part costs are automatically updated for the part
based on the purchase order details. The automated part reordering system makes managing the parts department
a breeze. A part reorder is issued when the part availability reaches zero stock,
the minimum stock, or better yet when it is predicted to reach the minimum stock
in the time it takes to receive a new shipment of the parts. This is also known
as 'just-in-time' ordering (similar to what the large department chain stores
use!).
The appointment system allows for customer to book appointments with the service department. Any relevant
information that is entered into the appointment is automatically inserted into the work order when the
work order is created. This reduces double entry and saves time!
Integration with the vehicles and deals modules means that there will always
be an accurate recondition cost for work perform on internal vehicles. Each
WO can be given an estimated total price which is used as long as the WO is
open and once closed the actual total is used.
